Legal
Privacy Policy
Effective date: 1 November 2026
Flowmify (“we”, “us”, or “our”) respects your privacy. This policy explains what personal information we collect when you visit flowmify.com or contact us, how we use it, who we share it with, and the choices and rights you have.
Who we are
Flowmify designs and builds workflow automation, AI systems, business dashboards and custom software for businesses. We are responsible for the personal information described in this policy. You can reach us about anything in it at connect@flowmify.com.
Information we collect
We collect only what we need to respond to you and run the website:
- Information you give us — your name, work email, company, company website, role, and the details you share about your project when you complete the enquiry form or email us.
- Correspondence — the content of emails and messages we exchange with you, and notes from calls you book with us.
- Technical information — when you visit the site, our hosting provider automatically processes standard server data such as your IP address, browser type, the page requested and the time of the request. This is used to deliver the site and keep it secure.
What we do not collect
The website does not use cookies, analytics, advertising pixels, session recording or third-party tracking. We do not buy personal data, and we do not sell or rent your information to anyone.
How we use your information
- To reply to your enquiry and arrange a discovery call.
- To assess whether and how we can help, and to prepare proposals.
- To deliver services you engage us for, under a separate client agreement.
- To operate, secure and maintain the website and prevent misuse.
- To meet our legal, tax and accounting obligations.
Legal bases for processing
Where data protection laws such as the UK GDPR or EU GDPR apply, we rely on: our legitimate interests in responding to business enquiries and running a secure website; steps taken at your request before entering into a contract; performance of a contract once you are a client; and compliance with legal obligations. We do not send marketing emails without your consent, and you can withdraw consent at any time.
Who we share information with
We share personal information only with service providers that help us run our business, and only as needed for the purposes above:
- Vercel — website hosting and delivery.
- Google Workspace — business email and documents.
- Professional advisers such as accountants or lawyers, where necessary.
- Authorities, where we are required to by law or to protect our rights.
International transfers
We work with businesses in the United States and United Kingdom, and our service providers may process information in countries other than your own. Where data protection law requires it, we rely on appropriate safeguards for these transfers, such as the standard contractual clauses or equivalent mechanisms offered by our providers.
How long we keep information
We keep enquiry correspondence for up to 24 months after our last contact, so we have context if you get back in touch, unless you ask us to delete it sooner. If you become a client, we keep project and billing records for as long as needed to deliver the work and meet legal and tax requirements. Server logs held by our hosting provider are kept for a short period in line with its standard practice.
How we protect information
We use reputable providers, encrypted connections (HTTPS), access controls and two-factor authentication on the accounts that hold your information, and we limit access to people who need it. No method of transmission or storage is completely secure, but we take reasonable steps to protect what you share with us.
Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, restrict or object to how we use it, receive a copy in a portable format, and withdraw consent where we rely on it. Residents of certain US states have similar rights, including the right to know what we collect and to request deletion. We do not sell or share personal information for cross-context behavioural advertising.
To make a request, email connect@flowmify.com. We will respond within one month, and we will not treat you differently for exercising your rights. If you are in the UK or EU and are unhappy with our response, you can complain to your local data protection authority, such as the UK Information Commissioner’s Office (ico.org.uk).
Children
This website is intended for businesses and is not directed at children under 16. We do not knowingly collect information from children. If you believe a child has sent us personal information, contact connect@flowmify.com and we will delete it.
Links to other websites
The site may link to other websites, such as our LinkedIn page. Those sites have their own privacy practices, which we do not control.
Changes to this policy
We may update this policy as our services or the law change. The effective date at the top of this page shows when it was last revised. Material changes take effect when they are posted here.
